Simplify Vacation Scheduling with Leave Planner and StaffRight Omni

Creating a schedule that accommodates your employee’s  vacation requests while ensuring you still have enough staff available to work can be a big headache for schedulers. You want your employees to enjoy their well-deserved breaks and you’re supportive of their plans. But you need to make sure you have enough qualified people working each day.

At LOKI Systems, we’ve created a solution in StaffRight Omni to simplify this process. With the Leave Planner function for StaffRight Omni, you can easily capture requests, manage daily targets and assign vacation days. With its integration to StaffRight Omni, you can spend hours, not days, on schedule creation, get more visibility into vacation availability to prevent overbooking, and schedule more effectively.

What is Leave Planner?

The Leave Planner function gives you the ability to manage annual vacation requests for employees within a unit and job class. Out of the box, Leave Planner can create an optimized schedule for a unit or job class that takes into account all of the leave requests for any period up to one year. You can set targets for how many vacation days are allowed to be scheduled on any given day.

With Leave Planner, scheduling vacation days is simple. The straightforward calendar interface allows you to quickly select one or more days to add vacation. You can also set up the Employee Self-Service (ESS) add-on to allow employees to request their vacation days in advance through any internet browser.  The system tracks the days and uses the vacation requests to generate an optimized vacation schedule.

With Leave Planner, you can…

Set daily maximum vacation targets

You can set targets for the maximum number of vacation requests allowable per department or unit. Schedulers have the ability to manage these targets for a period of up to one year.

Know how many vacation slots are available

The software features a comprehensive calendar interface to allow you to see who is scheduled for vacation leave and how much vacation is left for any given day simultaneously. You can instantly see if a   vacation request can be granted or if it would break the pre-set limits for that day, as well as the names and seniority of those who already are scheduled.

Know who’s scheduled for vacation

From the interface, you can easily see in one screen who is scheduled for vacation leave on each day according to unit, or department, and job role. Additionally, you may view more information on each employee, such as whether they are full-time or part-time, which can come in handy.

Automatically optimize schedules

Once all employees have entered their vacation requests, Leave Planner will create an optimal schedule for all employees while accommodating the entered leave requests. Leave Planner factors in seniority when creating the schedule. If there is a conflict, the process stops and the user is notified of the conflict, which must be resolved before the process can continue.

How can Leave Planner benefit my business?

Let’s say Daisy, one of your employees, wants to take off two weeks in June. Daisy can input her request through ESS and the request is automatically sent to StaffRight Omni. When it’s time to generate the schedule, the scheduler can simply use the Leave Planner function to create an optimal schedule while maintaining compliance to all business rules and accommodating the leave requests that apply to the schedule.
